PROCEDURES

Procedures to expedite the convocation process, gradaunds are required to do the following:

 

STEP 1 PRE - CONVOCATION CHECKLIST

  1. Check email and register online (RSVP) and print out the Alumni verification slip.

  2. Check student finance account statement and settle all outstanding fees and fines.

  3. Bring along the following documents:

    1. Completed Alumni verification survey (accessible on 30th Sept 2019 onwards)

    2. Printed Tracer Study slip (accessible on 30th Sept 2019 onwards)

    3. Student ID card

    4. Evidence of convocation payment (2 copies)

    5. Printed e-card invitation (2 copies) (during convocation day)

    6. Graduation sign off form

  4. Students who are unable to attend the convocation are also required to fill up item no. 1, 2 and 6. Please ensure that there are no outstanding tuition fees. Otherwise, your transcript and certificate will not be released.

  5. Attend the Rehearsal and Briefing on 11th October 2019 (Friday), at Malaysia University of Science and Technology

           

         9:00 am to 1:00 pm (Robe Collection - 4C1, Rehearsal - 4A1)

STEP 2 CONVOCATION DAY CHECKLISTS

  1. Bring your printed e-invitation card and wristbands to redeem your refreshment.

  2. Attend the Convocation Ceremony according to the schedule.

  3. Graduands and guests must wear appropriate dress code.

 

STEP 3 POST-CONVOCATION CHECKLISTS

  1. Return the Academic Attire/robe (on 12th October 2019 to avoid being fined).

  2. Collection of scrolls and academic transcripts by graduands.

  3. Graduands need to bring below documentation for collection of scrolls and academic transcript:

VERIFICATION

  1. Graduands need to check and verify personally through Registrar Online (RSVP).

  2. Fill up the online Alumni verification survey.

 

OUTSTANDING FEE AND FINES

 

1. Graduands are required to clear all outstanding fees balances to University before being allowed to attend the Convocation Ceremony.

2. Graduands are strongly advised to check their statement of account at the finance office for any outstanding fees.

3. All outstanding fees they must be settled by 27th September 2019 for payments made after the stipulated date, please present proof of payment during the collection of academic attire/robe.

LIBRARY

  1. Please check your library outstanding fines or unreturned/overdue books at University Library.

  2. Graduands are not allowed to collect their academic attire/robe if they have outstanding fines or unreturned/overdue books.

 

 

 

TRACER STUDY

GRADUATE TRACER STUDY

​

Students can access the tracer study for MUST starting 30th Sept 2019.

​

The graduate tracer study is an effort to study the performance of graduates in the job market upon completion of their study. The main objectives of the study include obtaining basic information on the status of graduates upon completion of the study, the employability of graduates in the job market together with their job status, types of employment, monthly income and employer’s information. In addition, this survey is also used to gather information on graduates’ perspectives of their academic program, facilities and the impact of teaching and learning process in your institution. As a continuous effort to improve the service quality of Malaysia University of Science and Technology and further enhance the national education system in general, it is necessary that we get the support, views and valuable feedback from you.

 

For your information, the date for Graduate Tracer System for the graduates of Malaysia University of Science and Technology is yet to be confirmed at http://graduan.moe.gov.my/v/ It is COMPULSORY for every graduate to complete the online survey.

Kindly fill in the details as accurately as possible. Upon completion, please PRINT a copy of the survey slip and submit it to us as proof you have completed the survey when you collect your academic attire/robe.

Your failure to complete the survey it will result in delays in processing the collection of a graduation gown, attendance in the Convocation Ceremony as well as the collection of the scroll. All information given will be kept CONFIDENTIAL.

CONVOCATION INVITATION TICKETS

Graduands may obtain your Convocation Invitation Card @ E-card Invitation through the following steps:

  1. Fill the RSVP (registration) online, E-card invitation will be directly sent to your email address.

  2. Print the Invitation Card @ E-Card Invitation.

  3. Bring the printed e-Card for endorsement purpose on the day of the rehearsal day for it to be endorsed. The E-Card is not valid until endorsed

  4. Every guest must present an endorsed E-Card and corresponding identity card/passport for verification before entry is allowed

  5. Children under 12 years old are NOT ALLOWED to enter the Convocation Hall

  6. The number of guests to invite:

 

Diploma Degree: Two (2) guests

Bachelor Degree: Two (2) guests

Master Degree: Two (2) guests

Doctoral Degree: Two (2) guests

 

 

CHANGING OF GUESTS' NAMES

  1. The last day for the confirmation and printing of the Invitation Card is TWO (2) weeks before the graduand's date of the Convocation Ceremony.

  2. The final guest details on the Invitation Ticket cannot be changed once confirmed.

  3. The previous printed Invitation Tickets will be automatically VOIDED if a new guest is registered in the system.

  4. Previous Invitation Tickets will be automatically VOID if new guests' details are registered in the system.

  5. Only the latest registered guest will be allowed to enter the hall. The Invitation card @ E-card is NON TRANSFERABLE.

 

ACADEMIC ATTIRE/ROBE COLLECTION

            REHEARSAL DAY

 

  1. Rehearsal and briefing for the Convocation Ceremony are on Friday, 11th October 2018 at Malaysia University of Science and Technology.

  2. Rehearsal, briefing and robe collection will begin as the following for both Undergraduate and Postgraduate graduands: 

    • Robe Collection: 9.00am - 1.00pm, 4C1

    • Rehearsal: 9.00am - 1.00pm, 4A1

  3.  Attendance is compulsory.

  4. Academic attire/robe can be collected on the rehearsal and briefing day. Please bring along:

    1. Completed Alumni verification survey (accessible on 30th Sept 2019 onwards)

    2. Printed Tracer Study slip (accessible on 30th Sept 2019 onwards)

    3. Student ID card

    4. Evidence of convocation payment (2 copies)

    5. Printed e-card invitation (2 copies) 

    6. Graduation sign off form

ACADEMIC ATTIRE /ROBE

Graduands must wear the complete graduation attire/robe (gown, hood, and mortarboard) for the ceremony.

DRESS CODE

  1. The Convocation Ceremony is a solemn affair. Graduands and their guests are advised to dress formally and appropriately for the occasion.

  2. For men:

    • Collared long-sleeved shirt, long trousers, and a tie

    • Covered shoes with socks

  3. For women:

    • Shirt/blouse with a long skirt/long trousers, or a dress

    • Appropriate shoes of comfortable height (2 Inch)

  4. Inappropriate attire to avoid:

    • Casual or revealing attire e.g. T-shirts, shorts, Bermudas, tank tops

    • Slippers/flip flops or sandals 

 

 

RECEIVING SCROLL ON STAGE

 The proceedings during each ceremony are as follows:

  1. The Conferment of Degree will be announced by the respective Dean/Director of the Academy/Institute/Faculty/Centre.

  2. The Graduand walks towards the stairs at the side of the stage.

  3. Graduands are NOT ALLOWED to change positions with other graduands.

  4. Once graduand's name is called, the graduand proceeds to the red spot marked on the stage, bows and takes one step forward.

  5. The GOH congers the degree.

  6. The graduand receives the scroll using both hands and bow.

  7. The graduand returns to his/her seat.
